The beauty of “the gathering” is that it can cater to different group sizes so  smaller, more intimate weddings,  milestone birthdays or family reunions  make this the perfect fit.

FAQ's | Terms & Conditions

terms & conditions

A 10% non refundable deposit is required within 1 month to confirm the booking. Final payment is due one month prior to the date of your event.

Change of date is permitted one time only and needs to be rescheduled within one year of the original booking date and is dependant on availability. Any cancellation made within one month of the booking date will forfeit 50% of the total package cost.

Access to and from the event site requires a width of at least 3 meters, needs to be level with no steep gradients and room to manoeuvre the caravan (attached to a vehicle) on-site. Final placement of the caravan needs to be on a level surface. Any concerns regarding access or site set up needs to be disclosed before confirming your booking. Hours for bar service will commence no earlier than 12pm and end no later than 12am

DO YOU SUPPLY ALCOHOL: Our caravans offer a BYO service. The advantage is being able to source your favourite beverages from retailers with specials or buy-back options, making it easier on your budget. We recommend hiring a chiller trailer for larger events and situating it close to the bar for easy access during service.

WE HAVE A CONSULTATION IN OUR PACKAGE OPTION, WHEN DOES THIS HAPPEN: The consultation process gives us a chance to meet, go over your expectations and how you envision Mount Vintage Bar to support you. We book these visits approximately 3-4 weeks prior (unless needed earlier) and cover some of the logistics’ like bar menu, point of contact, special requests, final numbers etc.

The week leading up to your wedding, we confirm all the details from our consultation so we can prep the caravan accordingly and go over any last minute changes.

CAN WE BOOK A CONSULTATION WITH YOU IF OUR PACKAGE DOES NOT ALLOW: Absolutely ! We are happy to book a complimentary virtual consultation. Even if your package allows it and you do not feel the need for an on-site visit, we will happily arrange this for you.

HOW DO YOUR CARAVANS KEEP BEVERAGES COLD: Serving cool beverages is a must! Both our caravans are equip with commercial bar fridges.  Our Gipsy caravan has a 3 slider bar fridge and Miss Tea has a 2 slider. We also have portable ice machines so we can serve chilled drinks all night.

DOES MOUNT VINTAGE BAR TAKE AWAY EMPTIES: Unfortunately we do not have space inside the caravan once we have packed down, however any empties collected over the bar during service, will be packed neatly and ready for you to dispose of.

WHAT HAPPENS AT THE END OF SERVICE: The team will start preparing for end of service within the last hour of your event.  If your package option allows, this is when we prepare the self-serve bar with a selection of drinks and pack the rest of your stock into your chiller or designated storage area.  We will also serve out of eco-friendly plastics, provided by us.

WHAT DO THE BAR STAFF TAKE CARE OF: The main priority for staff is to ensure the operations of the bar so that they can attend to your guests efficiently. You will see them from time to time lending an extra hand to other vendors, helping to clear tables and keep your venue area clean. If you require wait staff for your event this will need to be organised with your event co-ordinator or caterer.  If you require pre-pouring for special toasts, speeches or other formalities, thats us! Please let us know on booking.

WHAT GLASSWARE IS PROVIDED: Glassware provided includes champagne flutes, tumblers for non alcoholics and spirits and both red & white wine glasses. Both our caravans have on-board dishwashers so glassware is always available.

DO YOU REQUIRE POWER: Yes! In order to operate we would need to plug into a house hold supply or a caravan site.  We provide all relevant connections including extension cords and our own fuse box.  We can however run off the grid, as long as we are supplied with a generator- requiring 3500 watts.
